Dear Club YEOs,
I would like to invite you to a working meeting for Club Youth Exchange Officers (YEOs), organised by Rotary Youth Exchange Czechia, z.ú. (hereinafter referred to as “RYE CZ”) for its cooperating clubs.
The meeting will take place on Saturday, 19 September 2026, in Kroměříž, alongside Orientation Meeting I for international students arriving for long-term exchanges (inbounds) in the 2026-27 season.
During this meeting, a full-day training session for club officers on youth exchange programmes, focused primarily on one-year exchanges, will take place on Saturday, 19 September. Attendance is compulsory for:
If the Club YEO is unable to attend, they must be replaced by another member of the club’s Youth Service Committee or a member of the club board. More than one Rotarian from a club may attend the training.
Please note that international students must be brought to or accompanied to Kroměříž by an adult. It would therefore be advisable for this to be a club representative attending the training and staying in Kroměříž from Friday to Sunday.
Please be aware that, by decision of RYE CZ, clubs that do not send a representative to this training will not be eligible to participate in exchange programmes through RYE CZ in the 2027-28 school year.
The costs of club representatives’ participation in the training, including accommodation and meals from Friday to Sunday, will be covered by the RYE CZ budget. Clubs need only reimburse their representatives’ travel expenses.
Representatives of clubs that have not participated in one-year exchange programmes in recent years, or have not participated at all, are also invited to learn about new developments in the organisation of exchanges through RYE CZ. The programme will also include an exchange of experience among Rotarians working with young people and an opportunity to meet the group of international exchange students.
The programme for club representatives, enclosed as an attachment, is concentrated on Saturday from 9.00 am to 5.30 pm. It covers all current matters relating to the Youth Exchange programme and its future operation, long-term exchanges, short-term summer camps, family exchanges, the use of web applications, and other useful information for club work.
Naturally, each club representative may also take part in the rest of the inbound programme at their own discretion. An outline programme for the full Inbound Orientation Meeting is included in the second attachment. RYE CZ will cover the costs of accommodation in twin or triple rooms for a maximum of two nights, from 18 to 20 September, and meals from dinner on 18 September until breakfast on 20 September.
